Brandon, MB–– November 18, 2022: The audit trail is a feature that is part of the QuickBooks experience that enables business owners to detect and prevent fraud.  It is a free feature to all QuickBooks users.

The feature takes the form of a report.  It is referred to as the Activity Log for QuickBooks Online program users.  It shows each transaction that has been made, along with any modifications, deletions or additions that affect the transactions.  It includes any changes that have been made to the transaction type, date, amount, price, quantity, account, vendor name and customer name.  It also showcases the User ID that is associated with each modification, addition or deletion so you can see who made the change.

This feature helps to protect against fraud because it shows the footprints of individuals who have made changes in the accounting software.  Changes in the modification, deletion, reclassification and reversion of transactions are sometimes indicative of fraud, so when a business owner notices these types of transactions, he or she can stop the transaction while it is occurring.

Due to the number of transactions it holds, the Audit Trail is can result in a fairly large QuickBooks file. This is because as the number of transactions increase in a data file, the audit trail grows by a factor of 2. This is when removing the audit trail would benefit functionality.

Removing the audit trail brings down the file size of a data file and speeds up QuickBooks. Removing the audit trail also limits data that is presented to government or other agencies such as the CRA and IRS for data audits.
