Kingston, October 25, 2022: The audit log in QuickBooks Online allows users to view all the changes made in a company file and who made them. The audit log shows the 150 most current entries or changes made to the company data, per page, by default.
The Audit Trail feature helps keep a record of who makes what changes to the QuickBooks data file. If there are multiple users changing the information in QuickBooks the Audit Trail check box should be selected. Be aware that using the Audit Trail slows down QuickBooks a bit. For this degradation in performance, however, you get a permanent record of who is doing what in QuickBooks.
The purpose of an audit trail is to reduce errors, fraudulent activities, and unauthorized system access, improve internal controls, and verify the accuracy of underlying accounting transactions flowing to financial statements.
Due to the number of transactions the Audit Trail holds, the QuickBooks file could become quite large. As the number of transactions increase in a data file, the audit trail grows by a factor of 2. Removing the audit trail brings down the file size of a data file and speeds up QuickBooks. Removing the audit trail also limits data that is presented to government or other agencies such as the CRA and IRS for data audits.
